  • Abstract submission deadline: May 15, 2025.
  • Announcement for acceptance abstract by email: May 22, 2025.
  • E-poster submission started on website: May 22, 2025.
  • Registration and E-Poster submission deadline: June 15, 2025.
  • Announcement for selected E-Poster which proceed to oral presentation by email: June 22, 2025.
  • Deadline for full article submission (optional): July 3, 2025.
  • E-poster exhibition and Oral presentation: July 4-5, 2025.
  • Announcement for best abstract and e-poster prize competition: July 5, 2025.
Abstract Submission Guidelines
  • All abstracts submitted must adhere to the Declaration of Helsinki’s ethical principles for medical research involving human subjects and the rules laid down by the International Committee of Medical Journal Editors in their Recommendations for conducting, reporting, editing, and publishing scholarly work in medical journals.
  • Abstract can only be submitted online via online abstract submission system. No exceptions will be made.
  • Abstracts that had been submitted through online system can be frequently revised and modified until the submission deadline (15 May 2025)
  • Only abstracts in “Submitted” status will be regarded as successfully submitted and considered for processed further.
Research Abstract Structure
Research abstracts should be structured into the following sections:
  • A title which clearly indicates the nature of the investigation. If the research involves animals, state the animal species in the title of the abstract.
  • Background & Objectives
  • Methods
  • Result
  • Discussion and Conclusion
  • References
For submission of Research abstracts, you are required to submit the Institutional Review Board’s approval/waiver letter.
Case Study Structure
Case Studies should be structured into the following sections:
  • A title, which clearly indicates the nature of the investigation.
  • Background(What is the unique or significant problem highlighted by this case?)
  • Case Description
  • Discussion
  • Learning Point (What is the take home message from this report?)
  • References
For submission of Case Studies, you are required to declare whether you have obtained patient’s consent for submitting their case study as an abstract.
  • Word limit
    • The acceptable length of the abstract is not more than 350 words. This does not include references.
    • References can be up to 100 words.
  • Graph/Image
    • One graph/image can be included.
  • Table
    • One table can be included
  • Language
    • Only English is accepted. Please ensure that your abstract does not contain spelling, grammatical or scientific errors, as it will be reproduced exactly as submitted. No proofreading will be done.
E-Poster Exhibition
  • All abstracts that were accepted would be continued to e-poster exhibitions.
  • Please follow the update status of your abstract submission in your own account as the timetable above.
  • E-poster submission deadline on 25 May 2025, and can be only submitted together with the complete registration.
  • Further details about E-Posters could be notified in description below.
Oral Presentation
  • A few e-poster (10-20 for each categories) will be selected by the juries for an additional oral presentation in the best abstract prize competition on 3 - 4 July 2025.
  • The presenting author on event must be the same registered account according to the previous abstract submission.
  • Abstracts that are selected will be printed in proceeding e-book.
  • Further details on technical aspects about oral presentation would be announced at website on June 2025.
Full Article (Optional)
  • All abstracts that are accepted to oral presentation would be offered to going to publication in INVACTA (Indonesian Journal Vascular and Cardiothoracic Anesthesia).
  • If presenting author agree to continue to publication, full article need to be submitted before 30 June 2025.
  • Full Article would be processed to a further revision process by reviewer within 6 months to be published.
  • Further details on publication will be informed after the full article submission by email to each author.
Prize Competition
  • Case Studies
    • First winner: Rp 15 million (approximately 1000 USD).
    • Favorite winners (2-3 participants): Rp 4 million each (approximately 250 USD).
  • Research
    • First winner: Rp 15 million (approximately 1000 USD).
    • Favorite winners (2-3 participants): Rp 4 million each (approximately 250 USD).

  • Layout: Use a grid layout to ensure elements are organized and easy to read.
  • Color Scheme: Choose a color scheme that is visually appealing but does not interfere with readability. Ensure high contrast between text and background.
  • Visuals: Use high-quality images and graphics that support and enhance the content, rather than cluttering the poster.
  • Number of Images: Maximum 2-3 key images.
